Executive Assistant / Administrative & HR

Reporting to the management, you will ensure administrative, accounting, and HR management in an international setting.
You will actively participate in financial monitoring, trustee coordination, and personnel management.

Objective of the position
You will support the management in the administrative, accounting, and HR management of the company, in an international context.
Your main mission will be to support the management in monitoring financial operations, coordinating with trustees, and managing personnel records.

The position requires excellent English proficiency, both written and spoken.

Main missions

Administrative and accounting management

  • Entry, follow-up, payments, and supplier/customer tracking
  • Centralisation and classification of invoices in Odoo
  • Preparation and transmission of accounting documents to external firms
  • Monthly monitoring of investments and financial flows (purchases, expenses, equipment, projects).
  • Coordination with accountants and trustees in France, Switzerland, Morocco, and Vietnam.
HR tracking and support to management
Centralisation and updating of personnel records (contracts, administrative documents)
Interface with payroll firms and external HR providers
Monitoring entries/exits, trial periods, and contract renewals
Administrative support to management for recruitment, amendments, and HR reporting
One-time logistical organisation (meetings, travel, legal documents, signatures)
Desired profile
  • Proven experience in administrative, executive, or HR assistance, ideally in an international environment
  • Good command of office tools and ideally of Odoo (or an equivalent ERP)
  • Basic knowledge in accounting, administrative management, and budget tracking
  • Excellent command of professional English (written and spoken)
  • Rigour, organisation, sense of priorities, and absolute discretion
  • Ability to work autonomously and collaborate effectively with multicultural stakeholders
